Connect Calendly to Infograph
What it brings in: scheduled events, invitees, event types, organization memberships.
What you need
- A Calendly account.
- On a team, an owner or admin token reads everyone's meetings; a member's token reads only their own.
Steps
Open API and webhooks in Calendly
In Calendly, open Integrations and apps, then API and webhooks.
Generate a personal access token
Under Personal access tokens, click Generate new token, name it Infograph and create it. Copy the token. Calendly shows it only once.
Paste it in Infograph and choose your tables
Open Calendly in Infograph, paste the token into Personal access token and press Connect. Pick the tables you want and Infograph starts loading them, every meeting included.
What it syncs
Each becomes a table in Infolake that you can chart, report on or ask about. You choose which to sync.
- Meetings
scheduled_events Every scheduled meeting, upcoming and past, with its event type, host, start and end time, location, and whether it was cancelled. The base for booking and show-rate dashboards.
Ask: “How many meetings were booked each week this quarter, and how many were cancelled?”
- Invitees
invitees The people who booked each meeting, with their name, email, answers to your booking questions, status and whether they were marked a no-show.
Ask: “What share of meetings last month ended in a no-show?”
- Event types
event_types The kinds of meeting people can book, with their name, length and whether they are active.
Ask: “Which event types get booked the most?”
- Team members
organization_memberships The people in your Calendly organisation, with their role. Turns the host on each meeting into a name.
Ask: “Which team member hosted the most meetings last month?”
Troubleshooting
Each entry is the message Infograph shows when a connection fails. Open it for the fix.
Those credentials were not accepted.
Calendly did not accept the token. Check you copied all of it. A token stops working when it is revoked under API and webhooks or its user leaves the organisation: generate a new one, open the connection in Infograph, choose Edit configuration and paste it.
Common problems
These happen in Calendly itself, where Infograph cannot see them.
Only your own meetings appear
A member's token reads only that member's meetings. To see the whole team's, connect with the token of an owner or admin of the Calendly organisation.
A cancellation or no-show changed later
Each sync reads every meeting from yesterday onwards again, so a cancellation, reschedule or no-show recorded up to a day after a meeting is picked up. A change marked later than that is not.
