Connect Xero to Infograph

What it brings in: invoices, credit notes, payments, bank transactions, manual journals and 16 more.

What you need

  • A Xero organisation.
  • A Xero user role that can connect apps: Standard, Adviser, or Administrator with the Connected Apps permission.
  • Reports access in Xero, for the profit and loss, balance sheet and bank summary tables.
  • Pop-ups allowed for app.infograph.ai. The sign-in opens in a small window.

Steps

  1. Open Xero in Infograph

Choose Xero from the connectors and press Continue to Xero.

    Continue to Xero
  2. Sign in to Xero

The window asks you to log in to Xero, and shows the data Infograph asks to read.

  3. Choose the organisation and allow access

Pick the organisation from the list and choose Allow access. One connection is one organisation, so connect again for each other organisation.

  4. Choose your tables

The window closes and you are back in Infograph. Pick the tables you want and Infograph starts loading them, including every month of the last three years for the reports.

What it syncs

Each becomes a table in Infolake that you can chart, report on or ask about. You choose which to sync.

Invoicesinvoices

Every sales invoice and supplier bill, with the contact, dates, due date, status, totals, amount due and line items. The base for revenue, debtor and cash collection reports.

Ask: “Which customers owe us the most, and how overdue are they?”

Credit notescredit_notes

Every credit note you issued or received, with the contact, date, status, total and line items. Shows refunds and corrections that reduce what was invoiced.

Ask: “How much did we credit back to customers each month this year?”

Paymentspayments

Each payment made against an invoice, bill or credit note, with the date, amount and the bank account it went through. Shows when money actually arrived or left.

Ask: “How many days on average do customers take to pay an invoice?”

Bank transactionsbank_transactions

Money spent or received straight from a bank account without an invoice, with the contact, date, total and line items. Covers card spend, direct costs and small receipts.

Ask: “What did we spend through the bank last quarter, by contact?”

Manual journalsmanual_journals

The adjustments your accountant posts by hand, such as accruals, depreciation and corrections, with the date, narration and lines. Explains changes the invoices do not.

Ask: “Which manual journals were posted at the last month end?”

Payments in advanceprepayments

Money paid or received before an invoice existed, such as a deposit, with the contact, date, total and what is still unallocated. Shows deposits not yet matched to an invoice.

Ask: “How much in customer deposits is still waiting to be matched to an invoice?”

Overpaymentsoverpayments

Payments that were more than the invoice asked for, with the contact, date, total and the amount left over. Shows money you owe back or can set against a later invoice.

Ask: “Which customers have overpaid and still have credit left with us?”

Quotesquotes

Every quote sent, with the contact, date, expiry date, status and totals. Shows the pipeline before it becomes invoiced revenue.

Ask: “What share of last quarter's quotes were accepted?”

Purchase orderspurchase_orders

Every purchase order raised with a supplier, with the date, delivery date, status, totals and line items. Shows spending you have committed to before the bill arrives.

Ask: “How much is on open purchase orders by supplier?”

Contactscontacts

Your customers and suppliers, archived ones included, with their names, email, addresses and phone numbers. Ties every invoice, bill and payment to who it was with.

Ask: “Who were our ten largest customers by invoiced amount last year?”

Bank transfersbank_transfers

Each move of money between two of your own bank accounts, with the date, amount and both accounts. Deleted transfers stay, marked as deleted.

Ask: “How much did we move from the current account to savings this year?”

Chart of accountsaccounts

Every account in your chart of accounts, with its code, name, type and status. The categories every amount in the books is posted to.

Ask: “Which expense accounts do we have, and which are archived?”

Ask: “What are our tracking categories and the options under each?”

Troubleshooting

Each entry is the message Infograph shows when a connection fails. Open it for the fix.

Access was not allowed, so nothing was connected. Connect again and choose Allow.

The sign-in was answered with Cancel or Deny, so nothing was connected and Infograph holds no access. Press Connect again and choose Allow. Infograph uses the access only to read and sync your data.

Your account cannot read this data. Ask an admin of the account for access, then connect again.

Xero refused Infograph for this organisation. Usually the organisation was disconnected from Infograph in Xero, under Connected apps. Choose Re-authenticate on the connection, signed in as a user with the Standard or Adviser role in that organisation, and pick the same organisation.

Infograph's access was removed or has expired. Re-authenticate to resume syncing.

Xero no longer accepts Infograph's access. The connection was removed in Xero, the sign-in expired, or a table needs access the original sign-in did not grant. Choose Re-authenticate on the connection and allow access to the same organisation again.

Common problems

These happen in Xero itself, where Infograph cannot see them.

Your organisation is not in the list

Xero only lists organisations where your user can connect apps. Ask an Administrator of the organisation for the Standard or Adviser role. Xero also leaves out an organisation you have already connected to Infograph.

The report tables fail

Profit and loss, balance sheet and bank summary come from Xero's reports, which need the user who connected to have Reports access. Ask an Administrator to give you that access, then retry the tables in Infograph.

Voided and deleted documents still show

Xero keeps a voided or deleted invoice, credit note or other document with its status set to VOIDED or DELETED, and Infograph keeps the row the same way. Filter on status when you add up totals.

A table stops for the day

Xero limits how many requests an app can make to one organisation each day. When the limit is reached, the table fails saying so, and the next scheduled sync carries on where it stopped.
